Sensitive information. Some information is sensitive, such as health or disability details, Aboriginal or Torres Strait Islander status, and country of birth or language spoken at home. We collect it only with your consent or where the law requires it, for example national VET data reporting. You may choose not to answer some of these questions; your enrolment form tells you which.
How we collect it
Most information comes directly from you: through enquiry and enrolment forms, pre-enrolment assessments, our learning platforms, emails, calls and meetings.
Sometimes we collect information from other people or organisations, including:
- your employer or work placement service, about your attendance and performance on the job
- the USI Registrar, to verify your USI
- government departments and Apprentice Connect Australia Providers, for traineeship and funding arrangements
- your parent or guardian, if you are under 18
- an education agent, if you are an overseas student who applied through one.
Where practical, we ask for your permission first. If we can’t, we will let you know that we have collected the information.
Why we use your information
We use personal information to:
- respond to enquiries and assess whether a course and funding option suit you
- enrol you, confirm your identity and verify your USI
- deliver training, arrange work placements, assess your work and issue your qualification
- monitor your progress and offer support if you need it
- manage fees, payments and refunds
- meet our obligations under the Standards for RTOs 2025, national VET data reporting, the ESOS Act 2000 for overseas students, and our state and Commonwealth funding contracts
- handle complaints, appeals and critical incidents
- improve our courses and services, including through student and employer surveys
- tell you about courses and industry news, if you haven’t opted out (see “Marketing”).
We don’t use your Unique Student Identifier as our own student number, and we don’t sell personal information.
Who we share it with
We share personal information only where you have consented, where the law requires or allows it, or where it is needed to deliver the training you enrolled in.

Overseas storage. We store student and enrolment records in Australia. Our website, marketing and enquiry tools (Google Analytics, HubSpot and Meta Pixel) are provided by overseas companies and may process information outside Australia, including in the United States. We take reasonable steps to make sure they protect it consistently with the Australian Privacy Principles.
Decisions made by computer programs
We use some computer programs, including assessment software, eligibility rules and automated workflows, to help make decisions that can significantly affect you. A KKTC staff member makes or reviews every decision about whether you can enrol, what you pay and whether you are competent.
Kinds of personal information these programs use:
- identity, contact and age details
- citizenship, residency and visa status
- where you live and your concession status
- education, qualification and employment history
- your answers and results in language, literacy, numeracy and digital skills assessments
- your course progress, attendance and assessment submissions
- how you have interacted with our website, emails and enquiry forms.
Kinds of decisions made solely by computer programs:
- showing an indicative result from the eligibility checker on our website about which funding options may apply to you.
Kinds of decisions that computer programs substantially inform:
- whether a course is suitable for you and what support you may need, using pre-enrolment skills assessment results
- whether you are eligible for government-funded training and what fee applies
- identifying students who may be falling behind, so we can offer support or begin our progression process
- marking automatically scored assessment questions
- which course information and offers we show or send you.
To ask for more information about a decision, or for a person to review it, contact us using the details under “Complaints and contact”.
Marketing
We may send you information about our courses, early childhood industry news and events. We send marketing emails and texts only where you have consented or would reasonably expect them, for example because you enquired with us or studied with us.
You can opt out at any time by using the unsubscribe link in any message or by emailing admin@kktc.com.au. Opting out won’t affect messages we need to send about your enrolment, training or fees.
